Job Summary:

The Technical Services Coordinator plays a critical role in supporting daily technical operations and facilitating effective communication between customers, internal teams, and technical staff. This position is responsible for coordinating service‑related activities, maintaining accurate technical documentation, and ensuring timely, high‑quality support across the organization. The coordinator helps streamline service processes, supports analysis workflows, and contributes to the overall efficiency of the Technical Services function.

Essential Functions and Responsibilities:

  • Receive, log, and track incoming oil, coolant, and fuel samples in accordance with established procedures.
  • Ensure accurate and timely distribution of sample analysis reports to internal and external customers.
  • Maintain organized, up‑to‑date records of customers, sample history, test data, and related equipment.
  • Coordinate, review, and assign service letter activities across the organization for all equipment brands within the Equipment & Power Systems Division.
  • Maintain current ownership and equipment records for both internal and external customer needs.
  • Monitor open service letter actions to ensure timely completion and compliance.
  • Assist the Technical Services Manager with various projects, technical initiatives, and departmental tasks.
  • Prepare routine and ad‑hoc reports used by service departments to support operations, troubleshooting, and decision‑making.
  • Support communication between service teams, customers, and technical staff to ensure accurate information flow and high‑quality support.

Minimum Skills and Qualifications:

  • High School diploma or equivalent required.
  • Prior experience or familiarity with oil analysis, tribology, equipment reliability, industrial maintenance, or laboratory operations desired but not required.
  • Strong analytical, problem‑solving, and documentation skills required.
  • Strong attention to detail and commitment to accuracy.
  • Effective verbal and written communication skills.
  • Ability to prioritize tasks and manage workload in a fast-paced environment.
  • Collaborative mindset with an ability to support cross-functional teams.

Physical Requirements:

Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and the abilities to exchange information both verbally as well as through written communication as needed. The noise level in the work environment is usually quiet in office settings and moderate to loud in other situations, with both constant and sudden loud noises possible.
